Introduction

In a scenario of constant digital transformation, maintaining the security and continuity of IT services becomes both a necessity and a strategy. Vibra Energia, a leader in the fuel distribution and marketing sector, took a strategic step by modernizing its digital certificate management practices. The Certificate Management Project implemented by 4MATT with ServiceNow resulted in the celebratory event. Go Live Cake. Thus, it established itself as an innovative and high-impact initiative, combining technology, automation, and governance to increase operational efficiency and strengthen IT security and efficiency.  

Objectives

Prior to the project's implementation, certificate management was decentralized and manual, with controls maintained in Excel spreadsheets and a lack of standardized processes. This scenario created real operational risks, such as incidents due to certificate expiration and security vulnerabilities.

The lack of visibility into the certificate inventory hindered preventive actions, compromised team agility, and generated constant rework. The need for a robust, automated, and integrated solution became urgent to ensure service continuity and operational compliance. 

The objective was to provide greater safety and continuity for IT services. This makes certificate management more dynamic, practical, and optimized to avoid risks. 

The idea of the project

The project was established to cover the main points: 

1. End of decentralized and spreadsheet management 

2. Centralized real-time visibility 

3. Structured governance with defined roles

4. KPIs and dashboards for visual management 

5. Risk reduction and increased security 

6. Support for service continuity

The process

Implemented by 4MATT, the Certificate Management project was structured based on five fundamental pillars: 

  • – Survey of processes and interviews with the areas involved; 

  • – Definition of practice governance, with clear roles and responsibilities; 

  • – Automation of certificate inventory, using the ServiceNow platform; 

  • – Creation of flows and integrations to digitize and standardize processes; 

  • – Configuration of dashboards and KPIs, ensuring visual management and continuous monitoring. 

ServiceNow technology was essential for building a centralized inventory, enabling real-time visibility and complete control over the organization's digital certificates. This approach ensured secure, agile delivery that fully aligned with the company's reality and objectives. 

Impacts and benefits

Automation and structuring of governance provide benefit estimates in different areas:
